Booking & Cancellation Policy

At Vietnam Women Tours, we aim to provide a smooth and transparent booking experience for every traveler. Please read the following booking and cancellation policy carefully before confirming your reservation.
Booking Confirmation
A booking is considered confirmed once one of the following conditions has been met:
- Full payment has been received.
- A required deposit has been successfully processed.
- You have received a confirmation email from Vietnam Women Tours.
After confirmation, you will receive:
- Booking confirmation
- Tour itinerary
- Meeting time and pickup information
- Emergency contact details
Payment Requirements
Depending on the tour and booking platform, we may require:
- Full payment at the time of booking.
- A deposit to secure your reservation, with the remaining balance due before the tour begins.
- Payment upon arrival if previously agreed in writing.
Payment instructions will always be confirmed by email.
Cancellation by Customer
Day trips: You may cancel your booking more than 48 hours before the scheduled departure time without any cancellation fee.
Longer than 1 day trips: If you need to cancel your booking, the following cancellation charges will apply:
- More than 60 days before the tour date: Free cancellation (no cancellation fee).
- 60 to 30 days before the tour date: 50% of the total booking amount will be charged.
- Less than 30 days before the tour date: 100% of the total booking amount will be charged.
- No-show or failure to join the tour: 100% of the total booking amount will be charged.
No-Show Policy
If you do not arrive at the agreed pickup location and fail to contact us, your booking will be treated as a No Show.
No refund will be provided for No Show bookings.
Late Arrival
Our team will wait for up to 60 minutes after the scheduled pickup time whenever possible.
If you expect to be late, please contact us immediately via WhatsApp or phone so we can assist you.
Failure to notify us may result in cancellation of the tour without refund.
Changes to Your Booking
If you wish to change your:
- Travel date
- Pickup location
- Number of travelers
- Special requests
please contact us as early as possible.
We will do our best to accommodate your request, subject to availability.
Weather Policy
Our tours operate in most weather conditions.
In cases of:
- Severe storms
- Flooding
- Government travel restrictions
- Unsafe road conditions
- Other force majeure events
Vietnam Women Tours reserves the right to:
- Reschedule your tour
- Offer an alternative experience
- Provide a refund where appropriate
Changes Made by Vietnam Women Tours
Occasionally, adjustments may be necessary due to operational reasons beyond our control.
If significant changes are required, we will notify you as soon as possible and offer suitable alternatives whenever available.
Refund Processing
Approved refunds are processed using the original payment method whenever possible.
Please note that:
- Bank transfer fees are non-refundable.
- Credit card processing fees charged by payment providers may not be refundable.
- Refund processing times depend on your bank or card issuer.
